Word vs PDF: When to Use Which Format
Word and PDF solve different problems. Choosing the right one saves you — and your recipients — a lot of frustration.
Word is for editing
DOCX is a working format: drafts, collaboration, comments, and tracked changes. Layout can shift between devices, which is fine while the document is alive.
PDF is for sharing
PDF freezes the final appearance: invoices, contracts, resumes, print files, and official forms should always be sent as PDF.
Archiving and accessibility
For long-term storage, PDF (especially the PDF/A variant) is the accepted archival standard. Tagged PDFs also work better with assistive technology.
A simple decision rule
Ask one question: does the recipient need to change anything? If yes, send Word. If they only need to read, sign, or print — send PDF.
